Voting during the Annual Meeting

During UUCC’s Annual Meeting on June 5, 2022, we will be using an online platform called Poll Everywhere to manage votes. You might hear us refer to it as PollEV.

If you voted last year during our virtual-only Annual Meeting, this process will feel familiar to you – easy-peasy!

Please remember to bring your personal device to the meeting. This can be a phone, a tablet, or a laptop that can access an Internet webpage.

Here’s what you’ll find on this page:

Quick Guide: What you need to know 

  • As an eligible voter, you are pre-registered in Poll Everywhere. This means that your primary email address (the one that we found in Realm) is already pre-loaded into the voting system, and you have permission to vote on the 2022 Annual Meeting ballot. If you would prefer to use a different email address than the email you use in Realm, please email me at valerie@uucolumbia.net immediately, and we’ll make that change. 
  • Log into Poll Everywhere and make sure you have access before the meeting! If you voted last year, go to pollev.com/login and log in using the same login credentials as you used last year. If you have NOT used Poll Everywhere before OR if you don’t remember your password, no worries! Simply use the password reset option with your email address to reset your password and log in.   • Check out the test ballot and get familiar with the voting system. After you’ve logged into Poll Everywhere, go to pollev.com/uucc and give the test ballot a try. This is about how things will look and feel during the Annual Meeting. We want you to get comfortable with the Poll Everywhere platform before the meeting! 
  • Share your Poll Everywhere login information with your proxy. If you are planning to vote by proxy because you are unable to attend the Annual Meeting on June 5, please share your login info with your proxy. Your proxy will log into Poll Everywhere as you during the Annual Meeting and vote on your behalf. If you are asking somebody to serve as your proxy, it is your responsibility to share accurate login information. If you are voting as a proxy on behalf of someone else, please verify the login information they shared with you!  
  • You will log into Poll Everywhere on your personal device during the Annual Meeting. If you are attending in-person at OBIC, this means you will need to bring a phone, tablet, or laptop that can access the website. During the Annual Meeting, when the time comes to vote, we’ll ask everyone to pull out your device, log in, and vote. If you do not have a device that can access the website, that’s okay! — we will have stations set up for people who are unable to vote on a personal device.  

Common PollEV Errors

  • Make sure you are at pollev.com, NOT polleverywhere.com! — Google may take you to polleverywhere.com, or your browser may autofill to polleverywhere.com. You want to be at pollev.com.
  • If you see the words “Join Presentation” at the top of the screen, do NOT enter your personal information!
    • You will need to navigate to the Login screen to enter your personal information. Click the “Login” button at the bottom right corner or on the left hand side of your screen.
    • Where you see “Join Presentation” is where you enter “uucc.”
  • If you can’t find a “Login” button but you DO see a “Settings” button, you are ALREADY LOGGED IN.
    • Once you are logged in, navigate to the home screen by clicking the “Home” button.
    • The home screen is the page that says “Join Presentation” at the top. This is where you enter “uucc” and hit the Join button.

I can’t find what I’m looking for!

If you are on a computer screen: the buttons you are looking for (Login, Settings, Home) will most likely be on the LEFT hand side of the screen.

If you are on a phone or tablet: the buttons you are looking for (Login, Settings, Home) will most likely be along the BOTTOM of the screen.

Step-by-Step & Video Guides

Log in to PollEV

  1. Go to https://pollev.com/login 
  2. Enter your primary email address (the one that you use for UUCC communications, the one that’s stored in Realm)* 
  3. Enter your password if you know it. If you don’t know your password, follow the instructions below about how to Reset your Poll Everywhere password
  4. Once you log in, you’ll be redirected to the Home screen. The home screen prompts you to “Join a presentation.”
  5. Enter “uucc”
  6. Wait a few seconds for the ballot to load

*If after entering your email you receive the note: “We could not match that username to an account,” email Valerie at valerie@uucolumbia.net.

Create or Reset Your Poll Everywhere password 

  1. Go to https://pollev.com/login 
  2. Click “Forgot password?” in blue text at the bottom of the screen 
  3. Enter your primary email address (the one that you use for UUCC communications, the one that’s stored in Realm)* 
  4. Click the blue button that says “Reset password” — If at this step you receive a notification that says “We could not match that username to an account,” please reach out to Valerie at valerie@uucolumbia.net. 
  5. You will be redirected to a page that says “Instructions sent to your email.”  
  6. Check your email. You will receive an email with the subject line “Poll Everywhere Password Reset.” Open this email and click the link inside. 
  7. Create a new password, then enter the same password again 
  8. Log in using the same email address and your new password

Use the Test Ballot 

  1. After logging into Poll Everywhere, you’ll land on the home screen (pollev.com).  
  2. In the blank field below “Join presentation,” enter “uucc.” (Or go to directly to pollev.com/uucc in your web browser.) 
  3. Click the blue “Start survey” button 
  4. Follow the instructions to answer the survey questions. Click the “Next” button in the upper right hand corner when you are done with a question.
  5. Be sure to click “Finish” when you’re done!

The Annual Meeting ballot will look and feel a lot like this sample ballot.

Vote as a Proxy 

  1. Go to Settings. When you are logged in, you will see the settings icon on the bottom of your screen (on phone) or on the left of your screen (on computer). (If you do not see a settings button, that means you are not currently logged in.)
  2. Click on the log out symbol. It will look like a square with an arrow pointing to the upper right corner (you can see the symbol in the video below).
  3. After you log out, you will be redirected to the Home screen (the “Join Presentation” screen)
  4. Click the Login icon in the bottom right corner or on the left hand panel
  5. Enter the login information for the person for whom you are voting
  6. When you are redirected to the home screen, enter “uucc”
  7. Wait a few seconds for the ballot to load
  8. Once the ballot has loaded, complete the ballot on behalf of the person for whom you are serving as proxy

Voting During the Meeting

  1. At the designated point in the agenda where the congregation is invited to vote, we will ask you to navigate to pollev.com on your personal device
  2. Once you arrive at pollev.com, make sure that you are logged in to your account
  3. When you have checked to make sure you are logged in, go back to the home screen and enter “uucc”
  4. Wait a few seconds for the ballot to appear
  5. Complete the ballot
  6. You have now voted on the Annual Meeting ballot!

Determining Quorum before the Annual Meeting

  1. At the start of the Annual Meeting, we will ask you to log in to PollEV and complete an attendance question
  2. Because only eligible voters have access to this question in PollEV, the number of correct answers we receive on the question tells us how many eligible voting members are present for the meeting
  3. When you arrive on Zoom or in person at OBIC, we will ask you to go to pollev.com
  4. Log in using the login information you tested at home
  5. When you are redirected to the home screen, enter “uucc”
  6. Wait a few seconds for the attendance question to load
  7. Select the correct answer to the attendance question. The volunteer who is checking you in will tell you what the correct answer is. If you are on Zoom, the correct answer will be shared with you via the chat or on the screen.
  8. Jim Johnston, the Secretary of the Board of Trustees, will be able to view how many correct responses are received and be able to determine whether we have reached quorum
